Material Loss / Damage Documentation
Material loss or damage documentation is conducted for a shipped material is accidentally loss or damaged during transportation by collecting information and assessment of loss / damage.
The documentation for material loss / damage is conducted to conform the losses bear by company during the transportation of materials which is shipped, during ship transportation material accidentally loss / damage, those information are collecting and assessment to aware the loss / damage in financial measurement. The material which is loss / damage is calculated and reporting to management as assessment of lost materials or damaged materials during the shipment. The purpose of the loss / damage materials documentation is to evaluate of accident with materials during shipment by collecting information & analysis, investigate the materials damages for repairing, corrective actions at the location to compliance as per product standards or declare as the loss the material accordingly, in case the material is lost that the insurance / recovery of financial values of materials.
Loss / damage documentation and reporting is conducting dispatching and shipment management, the process for accessing and assessing information to analyze loss or damage with the materials, communication with concern shipment agency and contact with insurance company are conducted as person duties are assigned by management for loss / damage materials, authorized person is addressing by submitting concern documentation to clam for reimbursement of loss of or damage materials to insurance company and same is assessing the reports to management.
The documentation of loss or damaged material assessment, loss / damage reporting is conducted for recording information, condition of the materials and identify loss / damage with the materials during the shipment, for the reporting purpose the documentation is supporting to further actions and analysis which are conducted at the spot and at the movement the report are established for the document all the information collecting from the place and damaged / lost materials information. During the investigation generally material is classified for in two category, material is damaged or lost, if the lost that how much lost from the complete set, and accordingly documentation for the loss / damage report is completed, see picture below for the reference of documented conducted during the process:
As you can see picture above is used for the conducting information and assessing for further investigation and actions. In the loss / damage report required to insert date of accident occurred and also required reporting date or conducting loss / damage reporting, the reporting is conducted by concern person that duties are assigned by management are also need to inserting name as the responsible for custodian documentation of accident with material. In the loss / damage reporting / documentation complete information of the loss / damage, description of materials & full identification of the material is required to easier for internal manage, in case of the material is damage or lost that need to identify estimate cost for repair or lost to assessing to financial department. There are also important that and reported aspects of the accident and required description how the loss or damage is occurred the section is raised by investigation team.
On completion of loss / damage report, the report will be submitted to management for the further actions along with investigation report, financial values of the loss / damage materials reporting and initial actions reports are attached for management reference, on base of the initial report management is taken necessary actions to compliance of further requirements on legal as well customer communication as final settlements.
